Our client, operates a veterinary clinic that also has a pets grooming center and retail pharmacy. It is located in Ajman, UAE.
As part of the project 9T9 Information Technology delivered following ERP modules.
All pets information like name, date of birth, species, pedigree, chip ID and neutering information was in one location. Every pet is liked to a Customer (owner). Each customer information is added to the system leading to easy fetching of pets information. From owner’s database it is easy to find total number of pets owned, number of pets visits, total sales to date and much more.
Every veterinarian data is fed into system. Veterinarians are assigned a color code for easy viewing of booking calendar. Vet are also assigned to booking schedule. This ensures booking are only when a vet is is available. Overall, vet can see booking for day, week, month or longer.
The booking calendar easily displays status for the clinic or each doctor in day, week or monthly view. Users pick up an available slot of a doctor to enter customer name, choose the pet that would visit and appointment type. Example: Consultation, follow-up, vaccination, travel etc. All four information is displayed on the calendar which assists vets to know pre-hand which pet is coming, when and the reason of the visit. Vet can filter the calendar to display only their appointments.
This is the main document that links visits, history, vital signs, and tax invoices. On this document vet feeds medical examination outcome, adds vital signs, medication and creates tax invoice. Vet are able to view historical medical examination data or uploaded files like x-ray, tests etc. Vets are also able to upload new files for future reference.
Upon submit the system passes on the information to each document and creates tax invoice. Vet have the ability to collect payment against the tax invoice but due to cash collection at a centralized cashier the feature is disabled.
Similar to medical booking, pet grooming appointments are also taken. Additional information can be filled pre-visit to let the stylist know the what service the pet is coming in for. User can also add important information that the owner would like the stylist to know. Stylist can check the pet database to understand if any special care is to be taken due to medical history. Once the service is completed a tax invoice is created.
The outlet has a pets supply store where items like food, accessories, beds, collars, leashes, soft toys, litter box, sand, cleaning products and more are sold. Our system tracks inventory as well as sales from the outlets. It gives the business complete control over day-to-today operations.
An IFRS compliant accounting system having automated ledger entries thereby reducing manual entry to the lowest possible. Includes Chart of Accounts, Opening Account Balances, Taxes. Advance Payments, Budgeting, Subscription Management and more. Auto VAT calculation to build VAT reports as per local taxations laws.
Profit and Loss and Balance Sheet can be drilled down per branch. Accounts Payable and Receivable reports assists in managing cash flow. Credit facilities per supplier is concise. Item valuation that includes all indirect cost derives very accurate profitability per item.
A comprehensive stock/inventory control module. System ensures that stock items are tracked from purchase, warehousing and sales. Valuation can be by FIFO or Moving Average Method. Reduces theft, misplacement and incorrect valuation that directly affects business current assets. Features integrated inventory for a real-time view of product availability, stock levels in your warehouses, stock transfers, and more.
System can automate purchase order creation by default supplier or at branch level. System can notify purchase department when inventory is reaching low limit. Branches can manually raise a material request when stocks are going low. The operations team reviews the request and make material transfer if stocks are available at the central warehouse or make purchase order. Our system has a feature to merge all material requests for making one purchase order per supplier.
System allows to make sales via B2B channel or B2C channel through the Point of Sales module. B2B sales staff can make quotations and convert to sales order. A comprehensive customer database includes multiple customer side contact persons information and delivery location. Accounts department can control billing by tracking sales order progress to make tax invoices as needed.
Easily extendible to create multiple stores or warehouses across under one company. Company can hold or sell stock from each of the warehouse. System tracks inventory and valuation rate per location. Configurable to analyze expenses, stock movements, profits and loss to assess per location profitability.
Business can accept payments from any mode like cash, cards, BenefitPay, wallets, international currencies and more. When a customer pays in in international currency our software calculates total in local currency. Any excess refund is done in business local currency.
A smart and easy Point of Sales (POS) module with clear interface and easy search features. Single checkout screen for sales transactions and commonly used tasks. Compatible with any device, the Point of Sale software is user-friendly, extremely flexible, and fully integrated with inventory for real-time retail management. Works on offline as well as online mode.
Tracks expiry of all items to reduce inventory loss. Helps user identify near expiry items which can lead to prompts actions taken.
